Job Title: Executive Assistant

A little bit about our team:

Your role:

The Executive Assistant will support one of the top executives in all facets of their duties and responsibilities. You will act as the right hand to the executive and will be fully immersed in their daily activities and the label operations.

Here you’ll get to:

  • Manage the executive’s numerous day-to-day events such as scheduling calls and meetings, organizing travel and accommodations (both domestically and internationally) as well as processing expenses

  • Ensure the executive is timely for each call/meeting and is equipped with any prep materials or agendas, take detailed/thorough notes in meetings, analyzing the information post-meeting and circulating timely recap emails/documents; as well as building out action item lists where needed

  • Serve as a reliable contact between internal and external partners, communicate high priorities to the executive in a timely manner

  • Review the executive’s correspondence and perform quality control checks for accuracy, grammar and spelling

  • Process and maintain T&E expenses for the executive, via Concur

  • Manage the executive’s calendar – providing a weekly breakdown of scheduled events for the approaching week

  • Collate artist budget requests on a weekly basis

  • Handle the circulation of the weekly Artist Meeting schedule across the label

  • Uphold and conduct work within the standards and procedures of the company’s Code of Conduct and core values

  • Plan and organize quarterly events for internal Warner Records employees – partnering with Finance to obtain budget approvals and with the Facilities Team to coordinate logistics ahead of the event

  • Liaise with IT, as needed, to ensure all technological needs (both audio and video) are in-place ahead of meetings, presentations, etc.

  • Interview, hire, train and supervise interns semesterly

  • Attend company events and shows regularly

  • Welcome new hires and ensure they are well prepared for onboarding

  • Organize department gifting for birthdays

  • Complete ad hoc projects as needed for the executive

About you:

  • You possess 2+ years of relevant work experience as an Assistant, supporting at an executive level within the entertainment industry

  • You bring positive energy and a positive and welcoming demeanor into any room you enter 

  • You are a music enthusiast who has an affinity for all genres and loves to attend live events

  • You are knowledgeable of general business practices and industry trends

  • You are willing to work extended hours and to work in-office 5 days per week

  • You possess a strong and timely work ethic

  • You remain calm under pressure, are even-keeled and not easily flustered

  • You are solution-oriented and resourceful

  • You have excellent and effective verbal, written, and interpersonal communication skills

  • You maintain levels of professionalism, confidentiality and discretion at all times on behalf of the executive

  • You are an exceptional note-taker with the ability to routinely process large volumes of information

  • You can expertly collaborate and flex to all levels of the organization, high-profile individuals, clients and vendors

  • You have extreme attention-to-detail and are extremely organized

  • You are self-motivated and driven to succeed

  • You are responsive, over-communicate for clarity, and are available for time-sensitive initiatives

  • You are a team player and enjoy working with others

  • You have some experience planning and organizing events

  • You have knowledge of (and flag) current cultural events and breaking news

  • You are nimble with your focus – being able to shift priorities at will as needed and requested

  • You enjoy helping others

  • You are able to manage up and are comfortable holding others accountable

We’d love it if you also had:

  • Knowledgeable in Pop music culture (across multiple genres)

  • Proficiency in Google Workspace (Docs, Slides, Sheets, and Gmail)

  • Ability to create decks in PowerPoint, Slides, or Canva

This position requires being in the office 5 days a week. We believe that an in-office presence is critical for talent development, collaboration and building strong relationships.

Salary Range

$17.95 to $24.50 Hourly

Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
