POSITION OVERVIEW
The receptionist is responsible for providing all Bain Capital clients and employees a warm and welcoming first impression of the company. This person will also help support general office operations ensuring that all guests and employees have a consistently positive experience while at the office. This is a fully onsite, 40 hours per week job, based in our San Fransisco Office at 450 Pacific Avenue. The standard hours will be 8am to 5pm with an occasional need to come in early or stay late to support move-related activities or events. Key Responsibilities:Reception –
- Pre-clear all visitors into the Building’s Visitor Pre-clearance system
- Greet clients as they arrive at our office (offer beverages/coat storage/etc.) – be the face of the company
- Answer busy phone lines professionally and transfer calls to appropriate extensions
- Handle incoming & outgoing mail
- Break down & set up conference rooms for meetings
- Place catering orders
- Help with clerical tasks as needed (i.e. FedEx, photocopies, scanning, business card uploads, check requests, etc.)
- Liaise with appropriate building contacts at 535 Madison Ave as well as with Bain Capital facilities and IT staff in Boston to support functional office operations
- Help reserve & coordinate the setup of available workspace(s) for visiting employees
- Stock and manage inventory of kitchen, bathroom and general office supplies, placing orders as needed
- Vendor Management – coordinating with the Office Administrator, occasionally meet with vendors onsite for equipment inspections and general upkeep of the office such as plant maintenance, water & coffee machine maintenance, Life Safety equipment inspections, and supplemental HVAC equipment
- Liaise with onsite Building Management for access requests, work orders such as temperature control, plumbing, cleaning, etc.

- Strong people skills-must be comfortable interacting with a wide variety of personalities
- Strong communication skills both in person and on the phone
- Great attention to detail, but also capable of multitasking
- Willingness to take on projects when needed
- Must work well as part of a team
Desired Background
- Background in customer service, preferably in a corporate office setting
- Experience as a receptionist, office administrator, administrative assistant or similar job
- Stable work history
